At HyperLaw, we are fully committed to ensuring your personal information is kept secure and is never mistreated.  

In this privacy policy, it covers our treatment of any personally identifiable information that we collect when you visit our website and when you use any of our products or services. This policy also applies to our management of any personally identifiable information that we may disclose to any third parties. This policy does not apply to the practices of companies and organisations that we do not own, manage or control, or to people that we do not employ or manage.

HyperLaw may collect personally identifiable information when you visit our website, fill out online contact forms, complete surveys, sign up to our email marketing list, contact us directly over the phone or in writing, when you purchase HyperLaw products or services and when you apply for jobs at HyperLaw. 

Personal information we collect includes your name, address, company name, email address, telephone number, IP address and payment details.

Performance Cookies 
We use Google Analytics to track your interaction with our website. We use this information for three general purposes: to customise the content you see, to fulfil your requests for certain services and to improve the way we deliver our service to you.

The information we collect includes your:

  • The web page(s) you have visited on our website

  • The type of device that was used to view our website (Computer, Tablet or Mobile), and;
  • The type of browser used

This information is not used to identify you as an individual as it is anonymised and statistical, it is only used to improve the performance of our website and to make our service to you better.

Website Contact Forms 
We use online contact forms on our website to enable you to easily request sales or support call backs. The information we collect includes your:

  • Name
  • Job title
  • Organisation
  • Telephone number, and;
  • Email address

Our legal basis for processing this personal information is based on your consent and will only be used to fulfil your request.

Email Subscribers 
The email management provider that we use is Mailchimp, who are obliged to keep your details secure and process your personal details for the purpose that we require. Mailchimp is certified by the EU-US Privacy Shield.

When you subscribe to our email marketing list on our website, you will be asked for your:

  • First name,
  • Last name, and;
  • Email address

When you have successfully subscribed, you will receive emails from us relating to all HyperLaw news, any upcoming events and promotions. We will also send our customers HyperLaw service-related emails as part of fulfilling our contract and legitimate interests.

All email communications sent from us can easily be opted-out of by simply clicking the unsubscribe link contained in the email or by contacting us directly.

HyperLaw Software
We collect the following information to ensure we can successfully deliver our services to you:

Account information
Upon signing up to HyperLaw, you will be required to supply your:

  • Name
  • Email address
  • Address, and;
  • Telephone number

This personal information is required so we can deliver our service to you and we process this personal information based on our contract with you.

Usage information
We collect information relating to usage trends and how you interact with our software. This information is collected in order to improve our software for our customers and is processed under legitimate interests.

Survey Monkey
As a HyperLaw customer, we value your feedback about HyperLaw and welcome you to provide us with information that can help us improve the service we deliver to you. By voluntarily completing any survey, you consent to HyperLaw collecting personal data and using a third-party data processor in Survey Monkey to gather your responses. The information you supply will be processed by Survey Monkey and HyperLaw will have access to this data. This information is securely transferred outside of the European Economic Area (EEA), stored in the US and is fully protected under GDPR by the EU-US Privacy Shield certification.

Applying for Jobs
If you wish to be considered for employment at HyperLaw, we will need to process your personal information to discuss your suitability for the role. If successful, we will also need to collect your personal information relating to your date of birth, National Insurance number and bank details for legal purposes.

 

INFORMATION SHARING AND DISCLOSURE


HyperLaw will not sell or rent your personal information to anyone.  

We will only send personal information about you to other companies or people when:  

  • We have your consent to share the information;
  • We need to share your information to provide the product or service you have requested;
  • We need to send the information to companies who work on behalf of HyperLaw to provide a product or service to you (unless we tell you differently, these companies do not have any right to use the personally identifiable information we provide to them beyond what is necessary to assist us);
  • We respond to court orders or legal process; or
  • We find that your actions on our website violate the above terms of service, or any of our usage guidelines for specific products or services.

 

HOW LONG DO WE STORE YOUR PERSONAL DATA?


We only hold your personal information for as long as it is required to fulfil the relevant activity, contract you have with HyperLaw, our legitimate business interests or to meet any other legal requirements.

Customers with a HyperLaw Subscription
We store your personal data and all files you have uploaded to HyperLaw during your subscription and for up to 30 days after your subscription expires. We use the following data retention schedule during and after your subscription:

For a Duration of 30 Days Before Your Subscription Expires
We will notify you to export all your files and data from HyperLaw before your subscription expires, so you don’t lose access to it.

For a Duration of 30 Days After Your Subscription Expiry Date
We will continue to store your files and data in case you still need access to it, but there will be a charge to retrieve it as it’s outside of your contracted subscription.

We will initiate the deletion process and remove all your files and data stored in HyperLaw.

YOUR DATA SUBJECT RIGHTS


Under the General Data Protection Regulation, you have the following rights that you can exercise. In summary, these rights are as follows:

  • You can request a copy of all the personal information relating to you which we hold.
  • You can request HyperLaw to correct your personal information where it is inaccurate, out of date or has missing information.
  • You can request HyperLaw to erase your personal information (in certain circumstances).
  • You can receive a copy of the personal information you have provided to us or have this information sent to a third party, this will be provided to you or the third party in a structured, commonly used and machine-readable format.
  • You can object to HyperLaw processing your personal information for direct marketing.
  • You have the right to object to processing carried out on the basis of legitimate interests.
  • Object in certain other situations to the continued processing of your personal information.
  • You can restrict processing of your personal information in certain circumstances.
  • You can request not to be subject to automated decision making which produce legal effects that concern you or affect you in a significantly similar way.

Please note, we will need to see two copies of forms of identification to verify your identity before we can process any subject access request. The forms of identification we accept are:

  • A valid passport
  • Driving license
  • Birth Certificate
  • Utility Bill (from the last 3 months)
  • Current vehicle registration document

 

FUTURE PROCESSING


We do not intend to process your personal information for any reason other than stated within this privacy policy. If this changes, we will inform you by updating this privacy policy, therefore we recommend to check it before submitting any additional personal information to HyperLaw.
